Administrative Purchasing Assistant

The Administrative Purchasing Assistant supports the purchasing department in the daily management of orders, supplier follow-up, and the administrative handling of supply processes. He/she ensures that all tasks are carried out on time and in accordance with the needs of the various departments within the company.

Responsibilities:

1. Order Management:

  • Recording purchase requests and orders with suppliers in the purchasing system.
  • Tracking orders and deliveries (confirming delivery dates, follow-up when necessary).
  • Checking the consistency between invoices and purchase orders (quantities, prices, payment terms).

2. Supplier Management:

  • Managing and updating supplier information in the database.
  • Ensuring regular communication with suppliers to follow up on deliveries and resolve any issues (delays, incorrect orders, etc.).

3. Administrative Management:

  • Preparing and archiving administrative documents related to purchases (purchase orders, delivery receipts, invoices, etc.) and sales to sister companies.

4. Item Management:

  • Managing and updating items in the database (categories, supplier references, prices, etc.).

5. Inventory Management:

  • Monitoring inventory levels to anticipate supply needs.

Required Skills:

  • Knowledge of purchasing procedures and inventory management tools.
  • Proficiency in office software (Excel, Word, etc.) and purchasing management systems.
  • Organizational skills, accuracy, and the ability to handle multiple tasks simultaneously.
  • Strong communication skills for effective interaction with suppliers and internal teams.
  • Sensitivity to confidentiality and adherence to internal procedures.

Education:

  • Bachelor (vocational or higher professional education) in purchasing management, administration, or an equivalent qualification.
  • Experience in a similar role is a plus.
  • Languages: Dutch, English (French is a plus).
